What to Expect When Working with an AI Automation Agency

If you’re exploring AI for the first time, working with an “AI automation agency” can sound intimidating. What do they actually do? Do you need to understand the technology? How much of your time will it take? Here is exactly how it works with us, from the first call to a system that’s running.
Step 1: A free 30-minute call
Everything starts with a conversation, and you talk with Chris, the owner, directly. We learn what you do, how customers reach you, where things get stuck and which tools you already use. You don’t need to prepare anything technical.
We’ll ask questions like:
- How do new leads reach you? Calls, forms, chat or walk-ins.
- What happens when you miss a call? Or when you can’t reply right away.
- What eats the most time each week? The task you’d hand off first.
- What tools do you use? Your calendar, CRM, email and spreadsheets.
By the end of the call, we both know whether there’s a good fit.
Step 2: A fixed quote in writing
After the call you get a fixed quote in writing, before any work starts. It says what we’ll build, how it will work, which tools it connects to and what it costs. Setup is a one-time price, and every build comes with a monthly plan. All of our prices are in the pricing section.
If someone can’t explain what they’re building in plain language, that’s a warning sign, not advanced technology.
Step 3: Build and test
Once you approve the quote, we build it. That might be an AI voice agent that answers your calls, a chatbot for your website, automations that connect your tools, or a mix.
We handle the technical work. We’ll ask you for input on things like:
- Greeting. How you want callers greeted.
- Answers. The questions it should be able to answer.
- Lead details. Where you want them sent.
- Scheduling. Your calendar and booking rules.
Before anything goes live, we test it for accuracy, natural conversation and the right information landing in the right place. You review it and ask for changes before launch.
Step 4: Going live
When testing is done and you’re happy, it goes live. For a voice agent, calls to your business number get answered. A chatbot appears on your website. Automations start running in the background. We watch the first days closely and fix anything real customers turn up.
Step 5: The monthly plan
The work doesn’t stop at launch. Every build comes with a required monthly plan that keeps it running. What each plan includes is in the pricing section.
Plans are month to month with 30 days’ notice to cancel. If you cancel, we hand your system over instead of switching it off, and your business number stays yours.
